How to Respond to Negative Comments on Instagram (with Examples)
A negative comment under an Instagram post or ad is read by everyone who opens the comments, so the reply is for them as much as for the person who wrote it. In RYPL's own data for July to September 2026, 18% of the comments its AI analyzed on advertisers' Facebook and Instagram ads and posts were negative in tone, and 3% accused the brand of a scam or said the product was fake. Instagram's Restrict, Limits and Hidden words can calm a thread, but they hide comments; they don't answer them.

How should a business respond to negative comments on Instagram?
Answer genuine complaints in public, briefly, then take the details to a DM. Hide abuse and scams, and restrict repeat offenders instead of arguing.
Decide: reply, take it to DM, or hide
Criticism gets an answer; abuse, spam and scams don't.
- 1
Reply to genuine complaints
A late order, a faulty product or a confusing price deserves a public answer. Left alone, it reads as true to the next buyer who opens the comments.
- 2
Take order details to a DM
Anything with an order number, address or payment belongs in a direct message. Answer in public first: in Sprout Social's research, 51% of people who reach out to a brand publicly expect a public acknowledgement before moving to DM.
- 3
Hide abuse, spam and scams
Tap Hide under the comment. Only you and the writer can still see it, and Instagram doesn't tell them. If it breaks Instagram's Community Guidelines, press and hold it and tap Report as well.
Write the public reply
Short, specific and calm, with a way to continue in private.
- 1
Acknowledge the problem
Tap Reply under their comment so they're mentioned and notified, and name what went wrong in one sentence rather than a generic sorry.
- 2
Say what happens next
Give one concrete step: checking the tracking, looking at the order, your returns process. Don't promise what your policy doesn't cover.
- 3
Move it to a DM
Ask them to message you, or message them first. If they don't follow you, your message may arrive as a message request, text only until they accept. Tools on Meta's API can send one private reply per comment, within 7 days.
Use Instagram's tools on repeat offenders
For trolls, pile-ons and accounts that won't stop. None of these reply for you.
- 1
Restrict the account
Press and hold its comment and tap Restrict account. Its new comments are visible only to that person unless you tap See comment, then Approve, and you stop getting notifications for them.
- 2
Limit a pile-on
Profile > Menu > How others can interact with you > Limit interactions. Limit Recent followers or Accounts that don't follow you for up to four weeks at a time, then review what was hidden under Options > See Limited Comments on the post.
- 3
Filter abuse, not criticism
Keep Hide unwanted comments on and add slurs or scam phrases to Hidden words, which also apply to ads from your profile. Don't add words like refund or your product's name: you'd hide the complaints you need to answer.
What can't Instagram do on its own?
Instagram can hide comments by wording or by account, but it can't tell a frustrated customer from a troll.
- Outside partnership ads, Ads Manager only lets you hide or report comments on an Instagram ad, so a complaint there can't be answered from Ads Manager.
- A hidden comment stays visible to the person who wrote it, so hiding a complaint doesn't resolve it.
- Limits hides real customers too: comments from limited accounts stay hidden, even after it ends, unless you approve them.
- A message to someone who doesn't follow you may land in their message requests, and API tools get one private reply per comment, within 7 days.

Damaged, wrong or disappointing product

How does RYPL handle negative Instagram comments?
Complaints go to a person in the Needs attention queue; spam and hate are hidden automatically.
- Complaints and urgent comments on your Instagram posts and ads wait in the Needs attention queue for a person to answer.
- Spam and hate are hidden automatically, on every plan, and banned words and author blocking are on every plan too.
- Filter by tone is Off by default on each channel, so negative comments stay up for a person to answer. Set it to Hide negative or Delete negative only if that's your policy.
- From Pro, a reply rule can have the agent acknowledge a complaint in the commenter's language and point to your support. Replies publish directly, and you can edit them after they post.
